How do I measure true profit when revenue and costs sit in different systems?
Bring sales, product costs, fees, shipping, refunds and overheads into one model, using a consistent period and allocation rules, then calculate margin at the level you need, such as product, customer or channel. Document each allocation rule so finance can validate it.
Common data sources:
- Revenue from shop or invoicing.
- Cost of goods from ERP, supplier invoices or accounting.
- Payment and marketplace fees from payouts.
- Shipping costs from carriers.
- Overheads from the ledger.
Decide how to allocate shared costs and keep rules simple and consistent. Compare the total of your model with the accounting profit and loss and explain differences. Margin by product or customer is often where surprises appear.
