Why is my Excel pivot table giving different totals from my accounting report?
Usually because of different filters, dates, tax treatment, duplicated rows, text-formatted numbers, hidden rows or stale data. Check that the date range, account selection and tax basis match, then compare row counts and look for duplicates or missing lines in the export.
Checklist:
- Does the export include all accounts and statuses, such as drafts and voided items?
- Are credit notes shown as negatives?
- Are numbers stored as text and being skipped?
- Is the pivot refreshed, and does its source range include all rows?
- Is the report cash or accrual basis?
Break totals down by month and account to find where the gap begins. Then fix the cause rather than adjusting with a manual plug figure.
