How can I safely use ChatGPT or other AI assistants with business data?
Do not paste personal, confidential or client-identifiable data into a public AI tool unless you have checked its data terms and have approval. Use anonymised or aggregated data, business-grade accounts that do not train on your inputs, and always verify numbers and code the assistant produces before relying on them.
Safe practice includes:
- Remove names, emails, phone numbers, ID numbers and account details.
- Share summaries or small samples rather than full databases.
- Check settings on whether your content is used for training or retained.
- Write a short company policy on what may be shared.
- Keep a human responsible for checking outputs.
AI assistants are good for explaining methods, drafting queries and brainstorming, but they can state wrong things confidently, so validate anything that affects decisions.
