How do I explain data discrepancies to non-technical managers?

Show a simple bridge from one number to the other, listing each reason for the difference with an amount, such as timing, fees, refunds and tax. Use plain language, avoid jargon, and make clear which figure is right for which purpose.

A reconciliation table works well:

Then state which number to use for which decision, for example the ledger for statutory reporting and the shop platform for operational sales. Managers lose trust when numbers vary without explanation, so documenting the bridge once and reusing it saves repeated debate.
