How do I reconcile sales figures between my till system and my accounting software?
Start by agreeing one definition of a sale, then compare the same period, the same currency and the same tax basis in both systems. Reconcile till end-of-day totals to the bank deposits and to the journals posted in accounting, and list every difference by type, such as cash variances, voids, discounts and card fees.
A practical routine:
- Export daily totals from the till by tender type (cash, card, vouchers).
- Export the matching journal or deposit lines from accounting.
- Match on date and tender type, then list unmatched items.
Typical reasons for differences are late card settlements, cash banked a day later, voided sales, tips, and tax rounding. Keep a short log of recurring differences so they stop being surprises. If the till can export transaction-level data, load it into a database rather than relying on end-of-day summaries.
