How do per-user BI licence costs add up as my team grows?
With per-user licensing, cost grows roughly in line with headcount, so rolling dashboards out to many staff can become the largest part of a BI budget. Viewer-only roles are often cheaper than builder roles, and some tools charge nothing per user, so the model matters as much as the headline price.
Things to model before choosing a tool:
- How many people build reports versus only view them.
- Whether external users, such as clients or franchisees, also need access.
- Whether sharing or embedding requires a higher tier or capacity-based licence.
- Whether prices are per user, per capacity, or per server.
Pricing changes often, so request current quotes. A tool that looks cheap for five users may be expensive for fifty, and the reverse can be true for capacity-based plans.
