What is a data retention schedule and how do I create one?
A data retention schedule is a written list of each type of data you hold, why you keep it, how long you keep it, and what happens at the end, such as deletion or anonymisation. Create one by listing your data, checking legal minimum periods, and assigning an owner.
Start with the categories that matter most, such as customer records, invoices, staff files and marketing lists. For each, note the legal or business reason for keeping it and the period. Tax and employment rules often set minimums, so check them locally.
Remember copies: spreadsheets, exports, reports and backups all need to be covered. Review the schedule yearly. This is general information, not legal advice.
