What are the limitations of Power BI for small teams?
Power BI is capable, but small teams may find the licensing structure, sharing requirements, DAX learning curve and refresh configuration confusing. Sharing reports with many people typically requires appropriate licences or capacity, and poorly built models can become slow and hard to maintain.
Points to watch:
- Licensing differs by how reports are shared, so check the current model before rollout.
- DAX is powerful but takes time to learn.
- Data gateways are needed to refresh on-premises sources.
- Reports built directly on messy Excel files become fragile.
Power BI works best when it sits on a clean, well-modelled source and the team has someone who understands the data model. It is particularly strong if you already use Microsoft 365 and want deep Excel compatibility.
